Finance & Bookkeeping Specialist (with Office & EA Support)
Job Description
We're a fast-growing AI and digital health startup (Celeix Digital / WeKare Inc / SarNam Foundation) looking for a sharp, detail-oriented Finance & Bookkeeping Specialist based in Corpus Christi, TX. You'll work directly with the Founder/CEO and Ops Manager — handling core finance functions with light office operations and executive support on the side. High-trust, high-impact role from day one.
What You'll Do
Finance & Bookkeeping — Primary (80%)
• Own day-to-day bookkeeping and account reconciliation across three business entities and the Founder's personal finances, ensuring books are current, accurate, and audit-ready
• Manage multi-currency transactions (USD/INR), intercompany reconciliations, and periodic financial close across Celeix Digital, WeKare Inc, and SarNam Foundation
• Maintain and update the Founder's personal finance system (Quicken), including bank integrations, expense categorization, and a weekly cashflow tracker
• Coordinate tax filing logistics across all entities and personal returns, working with the external tax preparer to track deadlines and ensure timely completion
• Manage vendor billing, recurring subscriptions, and expense reporting — including periodic audits to identify and eliminate unnecessary costs
• Prepare regular financial summaries, cashflow reports, and forecasting inputs for Founder review and decision-making
Office Operations & Executive Support — Secondary (20%)
• Keep day-to-day office operations running smoothly and support the Founder's calendar, scheduling, and travel logistics
• Track open action items across the team, follow up on commitments, and prepare briefs and documents needed for meetings and decisions
• Handle general correspondence, vendor coordination, and ad hoc operational needs as they arise
What We're Looking For
• 3+ years bookkeeping or accounting support experience
• Quicken experience — strongly preferred
• Comfortable with multi-entity, multi-currency (USD/INR) environments
• Prior EA or office admin experience a plus
• Discreet and trustworthy — you'll handle personal and business financial data
• Self-directed; able to manage priorities with minimal hand-holding
• Strong written and verbal communication
